Managing Your Resource

What is a resource?

A resource can be anything that is part of the service requirement for scheduling an appointment.

Example: Rooms and Equipments.

A service may require the availability of one or more resources before an appointment can be scheduled. Each resource may in turn require a special operator to also be scheduled together with the resource.

If a resource is associated with a particular designation. When scheduling an appointment, the scheduler will ensure that member(s) assigned to the appointment will have the specified designation. If there was a member that has that designation and support all the services requested, then only one member will be scheduled for that appointment.

If 2 members of that designation is required then the appointment will have 2 members of that designation assigned to that appointment that meets the required services. More members may be automatically assigned if the requested services cannot be met by the minimal number of members.

Example: To book an appointment for a laser skin treatment service, an appointment may require a room, a laser, two consultants and a doctor.

How do I add a resource?

Click on the Resources tab at the top right corner of the page. Click on Add New to add a new resource. You may choose to upload a picture of the resource for easy recognition.

Give the resource a unique name so that you know which resource has been automatically assigned to which appointment. Assign a group type to the resource, if required. Resources of the same group type will be scheduled as alternatives.

Example: A Spa center may have multiple rooms available for a couple massage service. Hence if one room is already booked for an appointment, the other rooms can still be available for booking at the same time.

Each resource when created is not grouped to any type by default. Hence if a service requires 2 different resources that do not belong to any group type, then all the resources must be available for booking before the appointment can be scheduled because there are no alternatives to choose from.

Assign one or more services to the resource.

Example: A room may be used for a massage service, as well as a skin treatment service.

You can also add detail descriptions to the resource as desired.

Check on "Associate member(s) with this resource?" if the resource requires designated people to be scheduled along with it. All available member designations are listed so that you can associate each resource to one or more of your designated members.

Example: A massage service will require a room and a masseuse to be scheduled along with it.

How do I edit a resource?

Click on the Resources tab at the top right corner of the page. Click on the pencil icon to edit the information for the selected resource.

Note that if a member designation is changed or removed, and the resource is still associated with that old designation, then appointment booking for that service will always fail because the resource requirements can no longer be fulfilled.

How do I remove an existing resource?

Click on the Resources tab at the top right corner of the page. Click on the cross icon to remove the selected resource.

Resources that are removed from YourAM will no longer be used for scheduling appointments associated with a service. When you remove a resource, all appointments that use the resource will remain in YourAM.

How do I view the different service and resource assignments?

Click on the Resources tab at the top right corner of the page. Click on the drop down menu "show" to filter out the list of resources associated with the selected service.

By default, the resource page will show all resources.
